In laboratories, reagent, reference standard, consumable, and hazardous chemical inventories directly impact result quality, occupational safety, and costs. LIMS/LBYS Inventory Management integrates the entire inventory lifecycle from supply to consumption using lot/serial, expiration date, and location dimensions; FEFO/FIFO rules, minimum-maximum levels, and autonomous alerts reduce losses. FEFO/FIFO Lot & Expiration Date Barcode/QR MSDS & Warnings ERP Integration
Why use LIMS for Inventory Management?
Traceability
Every transaction (entry-exit-transfer-return) is recorded with a user and timestamp; a lot-sample-test relationship is established.
Quality and Compliance
Lots nearing expiration/expired, quarantined/unsuitable lots are automatically marked; this can prevent test openings with unsuitable usage.
Cost Control
Minimum-maximum and order point calculations are optimized according to consumption trends, reducing rush purchases and waste.
Inventory Lifecycle: End-to-End
Stage Explanation Critical Controls
1) Demand & Purchasing Material request according to analysis/sampling plan; order-invoice matching with ERP. Approval workflow, budget codes, supplier SLA and specification check.
2) Admission & Introduction Lot/serial, expiration date, MSDS and certificate records; barcode/QR labeling. Quarantine status, COA verification, hazard class, and storage conditions.
3) Storage & Location Shelf, cabinet, room; storage under appropriate conditions with temperature/humidity monitoring. FEFO/FIFO routing, critical stock alerts, unauthorized exit restrictions.
4) Reservation & Consumption Automatic reservation of samples/tests; aliases and dilution prescriptions. Compliance with method/acceptance criteria; blocking of inappropriate lots; automatic consumption reduction.
5) Returns, Destruction & Inventory Return/disposal of unused/damaged materials; periodic or cyclical inventory counting. Destruction report, witness signatures, inventory discrepancy root cause analysis.
FEFO/FIFO and Lot Tracking
The FEFO (First Expired, First Out) rule is critically important for chemicals and reagents. LIMS determines expiration priority at the warehouse/shelf level and generates withdrawal lists accordingly. The usage period and storage conditions of reference standards after opening are monitored; if an expiration date is reached, the system generates a warning and restricts usage. Thanks to the lot-sample-report relationship, the question of "Which results were obtained with this lot?" is answered instantly.
Safety, MSDS and Compliance
MSDS /Safety Data Sheets for hazardous chemicals are added to the stock card; pictograms and hazard statements are made visible. Storage classes (flammable, oxidizing, acid/base, etc.) and incompatible combinations are defined; the system warns of improper placement. Spill/leakage events are linked to the quality module as deviation records.
Reservation and Consumption Automation
Material reservation can be done automatically according to the test/method plan. The actual consumption quantity is calculated using dilution and preparation recipes in the solution; batch/lot reduction is automated. Inappropriate lot usage is prevented by using the acceptance criteria in the method card, thus maintaining result integrity.
Counting, Waste and Loss Prevention
With cycle counting, critical materials are counted at shorter intervals; barcode/QR scanning enables faster counting. Root causes (damage, evaporation, incorrect dropping, erroneous recording) for counting discrepancies are identified, and the CAPA process is triggered. This reduces waste and loss rates.
Reports and Dashboards
Critical Stock
Items below the minimum level, order point and recommended quantity.
Expiration Date
Lots expiring in 30/60/90 days, FEFO withdrawal lists and alerts.
Consumption Analysis
Consumption, cost per unit, and trends by method/line/analyst.
Inappropriateness
Quarantine/rejection lots, attempts at inappropriate use, and blocking.
ERP/CMMS Integrations
Stock data is integrated bi-directionally with the ERP system to match orders, invoices, and stock; spare parts and consumables used in maintenance work orders can be automatically recorded as consumption in the LIMS using CMMS. This allows resource planning, cost analysis, and audit evidence to be managed from a single point of accuracy.
Connection with Quality and Analysis Modules
The Analysis and Methods module determines which reagent/consumable should be used with which acceptance criteria; the Quality module triggers the OOS/Deviation flow in cases of inappropriate lot usage trials. Through the sample-test-lot triangle, affected reports are identified within minutes in case of a potential quality issue.
Operational and Strategic Benefits
- Waste and Losses Reduced: FEFO/FIFO and threshold warnings minimize losses.
- Audit Preparation: Lot-sample-report traceability simplifies recall scenarios.
- Safety: Workplace safety is strengthened through MSDS, storage rules, and warnings.
- Cost Control: Budget management is improved through minimum-maximum, order point, and consumption analysis.
- Efficiency: Barcode/QR scanning, automatic drop-off and booking reduce manual errors.
Suggested Steps for a Quick Start
- Define the stock card templates: lot/expiration date, MSDS, storage, and acceptance criteria.
- Define the warehouse-rack hierarchy and FEFO/FIFO routes; set critical thresholds and alerts.
- Perform consumption/reagent matching with method cards; enable inappropriate lot locks.
- Configure ERP/CMMS integrations; synchronize data with purchasing and maintenance workflows.
- Implement the cyclical counting plan; measure difference management and CAPA flows.
Tip: For reference standards, make the "time after opening" field mandatory and add secondary container tracking. This ensures safe operation even with microdegree deviations, without compromising FEFO logic.
