Inventory Recording and Identification

Material Identification
All information such as chemical name, formula, CAS number, manufacturer information, purity level and instructions for use are defined in detail in the system. In this way, the laboratory inventory is transferred to the digital environment in a complete and orderly manner.

Creating Material Categories
Classification is done according to material types such as chemicals, consumables, and equipment. This grouping makes inventory lists more organized and makes searching and filtering easier.

Barcode and QR Code Identification
Material tracking is facilitated by generating a special barcode or QR code for each inventory item. Thanks to these codes, entry, exit, usage and stock control operations can be done quickly and without errors.

Adding a Safety Data Sheet (MSDS)

Minimum and Maximum Stock Level Determination
Minimum and maximum levels for each inventory item are defined in the system. These definitions prevent excess purchases and reduce the risk of shortages during stock planning.

Automatic Warning System
When the stock level approaches the specified minimum value, the system sends an automatic warning to the relevant personnel. In this way, the procurement process of the required materials is started on time.

Stock Update
Stock levels are automatically updated after new material entry or use of existing materials. In this way, the stock status in the system is always up to date and the need for manual tracking is eliminated.

Expiration Date Tracking
Expiration dates defined for chemicals and reagents are tracked by the system. Automatic warnings are given for approaching dates, ensuring timely detection of materials that may become obsolete.

It allows laboratory personnel to request the materials they need through the system and to have these requests met through the specified approval processes. Creating a Material Request Form
Laboratory personnel create a digital request form through the system for the chemicals, consumables or other materials they need. The request includes information such as material type, quantity and intended use.

Request Approval
Created requests are approved or rejected by the relevant units according to the defined authority hierarchy. In this way, uncontrolled material use is prevented.

Request Fulfillment
Automatic stock reduction is made in line with approved requests and the requested material is delivered to the relevant personnel. The delivery process is recorded in the system to ensure traceability.

Material Distribution Report
All delivered materials are reported on a user basis in the system. These reports facilitate the tracking of past requests and serve as documentation in audit processes.

Order Management

Supplier and Order Management 

It ensures that supplier information is recorded and order processes are carried out systematically in order to manage the supply processes of chemicals, consumables and equipment used in the laboratory. Registration of Supplier Information
Information such as title, contact, product portfolio, supply period and special conditions of the companies from which materials are supplied are recorded in detail in the system. Thus, alternative supplier information for each material can be accessed quickly.

Order Planning
The system automatically creates order suggestions for materials that fall below the minimum stock level. These suggestions are prioritized according to material type and frequency of use and presented to managers.

Order Approval and Tracking
Created orders are passed through defined approval mechanisms and forwarded to the supplier. The status of the order (approved, sent, delivered, etc.) is tracked step by step in the system.

Delivery Control
The quantity, expiration date, safety conditions and suitability criteria of the products received from the supplier are checked. Orders found suitable are received and added to the inventory; in case of non-compliance, the system gives a warning.

Inventory Reporting

Inventory Reporting and Auditing 

It ensures that all inventory movements in the laboratory are reported in detail and that these reports are kept ready to be used in audit processes. Reports are created on chemicals that are nearing their expiration date or have expired, as well as materials that have been destroyed. This information supports both safety management and enables monitoring of the waste process.

Audit Preparation Reports
All input-output, usage and disposal movements related to the laboratory inventory are regularly reported by the system. These reports can be used as documentation in ISO, GLP and similar quality audits and facilitate retrospective controls.
