Maintenance and Calibration Records Management

Maintenance and Calibration Record Management Module is a critical solution for the continuity of production processes and the reliability of device performance. This module ensures that the devices operate properly and produce accurate results by tracking the maintenance and calibration processes of the equipment in a digital environment. It minimizes manual errors, speeds up processes and prevents time losses.

The module increases efficiency by optimizing maintenance and calibration planning. The system reminds you of periodic maintenance dates for each device and provides reliable traceability during inspections by recording maintenance history. In this way, maintenance processes are always organized, error-free and ready for inspection.

Periodic Planning and Calendar Management

Maintenance and calibration periods specific to all devices are defined and planned as a calendar in the system. These plans are supported by automatic warning and task assignment mechanisms.

Features

  •  Timing Definition
  •  Assigning a Task
  •  Reminder System
  •  Locking Mechanism

Schedule Definition
Maintenance/calibration frequency is determined on a per-device basis (for example: every 6 months). This feature ensures that maintenance and calibration are performed regularly and ensures schedule accuracy.

Task Assignment
After scheduling, the task is assigned to the relevant responsible personnel. This process ensures that the responsible person is aware of the task and that the process is carried out on time.

Reminder System
Automatic notification/warning system is activated for upcoming dates. This prevents disruption of work by reminding users in time and ensures regular maintenance.

Locking Mechanism:
For operations that are not performed, the device is marked as “locked/unusable”. This feature ensures that the devices should not be used without maintenance and calibration, eliminating the risk of any disruption in production processes.

Form Management

Digital Maintenance and Calibration Forms

Maintenance and calibration forms created specifically for each device are filled out digitally. The forms include process steps, equipment used, measurement results and observations.

Features

  •  Form Automation
  •  Process Steps Record
  •  Value Entry
  •  Indication of Eligibility

Form Automation
Digital form opens automatically according to the device type. This feature allows the appropriate form to be prepared quickly for each device and reduces the risk of manual errors.

Recording Process Steps
The maintenance/calibration person completes the form step by step. Recording each process step ensures that the process is followed accurately and that each stage is documented.

Value Entry
The required measured values (e.g. temperature, pressure) are entered. This ensures that the data required for the maintenance and calibration process of each device are recorded correctly.

Compliance Indication:
Depending on the results, the “compliant/non-compliant” status is marked. This feature determines whether the process is successful or not and ensures that corrective actions are initiated when necessary.

Status Processes

Device Status and On/Off Procedures

The system prevents the use of devices that have not been maintained or calibrated during the production process. These processes are controlled automatically or with administrator approval.

Features

  •  Status Tracking
  •  Activation Process
  •  Log Record
  •  Manual Intervention

Status Tracking
If the device maintenance period has passed, the system automatically gives the status of “unusable”. This feature ensures that the devices are automatically disabled in line with the maintenance dates and prevents the neglect of maintenance processes.

Activation Process
The device is reactivated when approval is received after maintenance or calibration. After the necessary maintenance and calibration processes are completed, the devices are reopened for use by receiving approval from the system.

Log Recording
Every status change is recorded with a time stamp and on a per-user basis. This feature increases traceability and simplifies auditing processes by tracking every change in the status of the device.

Manual Intervention
If necessary, a "temporary unavailable" status can be manually set. Operators or administrators can manually change the status of a device and make it temporarily unavailable.

Documentation Management

Calibration Certificate and Documentation Management

Documents generated after calibration (certificate, verification report) are uploaded to the system, digitally archived and made easily accessible during audits.

Features

  •  Document Upload
  •  Certificate Information
  •  Device Association
  •  Quick Access

Document Uploading
The calibration document is uploaded to the system as a PDF. The documents created after the calibration process are stored digitally and made easily accessible.

Certificate Information
Document information (certificate number, date, validity period) is entered. In order to track the certificates correctly, this information is recorded digitally.

Device Association
Each document is automatically associated with the relevant device. Calibration documents are stored in conjunction with the device history, providing easy access to relevant calibration data for each device.

Quick Access
A filterable list is provided for quick access during audits. Thanks to the search and filtering features, certificates can be accessed quickly and easily during audit processes.

Compliance Audit

Retrospective Tracking and Compliance Auditing

Past maintenance and calibration operations can be monitored and suitability analyses can be performed. Device usage in the production process is compared with these records.

Solutions

  •  Record Scan
  •  Validity Check
  •  Reporting Integration
  •  Starting Deviation

Record Scanning
By selecting the relevant batch or production date, the compliance history of the devices used is listed. Data on whether the device is compatible is provided by comparing its usage in the production process with past records.

Validity Check
Devices with expired validity periods are marked. Calibration dates and validity periods of the devices are checked and non-compliant devices are detected.

Reporting Integration
Data visualization is performed integrated with the reporting module. Monitored data is presented as visual reports, enabling faster and more effective analysis.

Initiating Deviation
If a non-conformance is detected, the system can automatically initiate a deviation process. If the device has expired or has a conformity problem, the system automatically initiates corrective action.
